I. Would you like to participate in Incontro Romano by submitting a project?

Here are some steps to take to get you and your team organized.

How to begin:

1. Find a team: There are no limitations as to the minimum or maximum number of people.
2. Read the discourse on this year´s topic: You can find it on our website at http://www.incontroromano.it/en/congress2011. It is important to read it and understand it well as your project should reflect this year´s topic.
3. Read some suggested bibliography: On our website you can find suggested articles and readings. You can choose what interests you.
4. Choose something related to this year´s topic that you would like to share with the world: It might help to think about how some things you do in your everyday lives demonstrate putting the theory behind ¨true well-being¨ into practice.
5. Choose a format: The moment has arrived to choose the best format for presenting the content of your project. As you want to choose the format that most effectively communicates what you have to share, perhaps it would be good to take into consideration some examples:
A photo is good for expressing a static reality, whereas a video or a series of photos is better for demonstrating a process or a change (for example, a ¨before and after¨ scene). An academic paper is adequate for transmitting findings from a scientific investigation, whereas perhaps a newspaper article may be the format of choice for expressing an opinion.

Here are some suggestions for formats you can choose:

*These formats must be accompanied by a brief written explanation (maximum 600 words).



II. Format Guidelines

POSTERS and PHOTOS
To be taken into consideration:
1. Format: The maximum size is A-1 (59.4 X 84 cm) in its vertical position.
2. Posters and photos must be accompanied by an explanation of no more than 600 words outlining how the image is related to this year´s topic and the idea(s) behind the image that you want to communicate. This written work is considered the scholarly backing to support the content being transmitted. Bibliographical references should be included.
3. All images should be in digital format. Your work can be submitted in digital format. Later, works selected to be presented must be printed in high quality and submitted to Incontro Romano before the congress.

VIDEOS and DVDs
1. Format: As much as possible please try to avoid using programs that do not have universal compatibility. In any case we always try to do our best to make your files compatible with the programs available to us.
2. Your video must be accompanied by an explanation of no more than 600 words outlining how it is related to this year´s topic and the idea(s) behind the video that you want to communicate. This written work is considered the scholarly backing to support the content being transmitted. Bibliographical references should be included.
3. The video should be relevant to the topic of this year´s congress. Videos of a propagandistic nature will not be accepted.
4. Videos can be submitted in hard copy format by mail or by means of internet as long as they arrive in Rome by the submission deadline.
5. Please also keep in mind:
- Duration: the maximum is 6 minutes.
- Text: text in the video must be legible. Therefore, please give consideration to the size of the fonts used, the combination of font and background colours, the generous amount of time needed for viewers and translators to read the text, etc.
- Images: please ensure that all images are of high resolution are not copied from private internet sites that leave a watermark on the image. Besides attractively expressing the message you wish to transmit the images should always demonstrate a high level of professionalism and good taste.

WRITTEN WORK
1. Length: Written works should be no more than 12 pages in length and should be accompanied by a summary or abstract (about 1 page in length).
2. Audiovisual material: Your written work may be accompanied by audiovisual material if you so wish.
3. For scientific investigations, the following is a possible structure to follow; however, you may choose to follow whatever structure you deem adequate as long as it be that of a high academic level.

  1. Introduction: a synthesis of ¨what?¨, ¨why?¨ and ¨for what purpose?¨
  2. Objectives: enumeration of the desired goal for this investigation
  3. Theoretical framework: development of arguments that give foundation to the proposed ideas. (maximum 5 pages).
  4. Proposal: a PRACTICAL application can be put forward based on the investigation carried out. It is important to keep in mind that, rather than big projects, IR is interested in helping to reflect on the proposed annual topic, to see its importance in modern day society, and discovering possible ways of positively impacting the lives of people all over the world.
  5. Conclusion: summary of the importance and repercussion of your work and how you fulfilled your objectives.
  6. Bibliographical references: Scholarly sources must be used as references to justify your work. You may use books, essays, magazines, articles, speeches, etc. All references should be correctly cited following any academic format maintaining consistency. End bibliography must be included.



III. Sharing experiences from all over the world and previous years:

Central America: Integrating a social project and Incontro Romano.

One Saturday a group of girls visited people with scarce resources and took note of all the things that could possibly better the living conditions of these families. Throughout the week the girls searched for furniture, elements that could be used for decoration, paint for the walls, food… and they went back to visit these families one week later. They thought about how this could be related to Incontro Romano this year and decided that they wanted to share their experience with others by way of photos. They took photos before and after their work with these families in order to show the impact they were able to make.

Together with the photos they sent a brief explanation about how they carried out the activity and how it got them to reflect on the person, the family, and how material elements help to create a home. Their activity has contributed to creating a new culture of service in society.

Spain: Sharing innovations that facilitate work one does in the home.
To convey their message in an attractive and original way, they came up with the idea of making a short film. After writing a short screenplay they filmed themselves demonstrating their inventions and innovations ingenious for making the work done to create a home easier and more efficient.
They met periodically to work on the screenplay and started having classes and practical sessions with professionals from various expertise. These include classes given by an architect, an interior decorator, a physiotherapist who talked about ergonomics, and a human resources professor who talked about how to organize one´s time. These sessions helped to reflect on the excellence in the home, service, and work that is directed at persons. Once the screenplay was written, they made costumes, prepared the sets, filmed, and edited.

Canada: An Analysis of Fast Food.
Various students from the department of nutrition carried out an investigation on fast food by means of surveys at their university. They found that most people were lacking proteins and therefore were not receiving a well-balanced diet. They subsequently studied and proposed possible ¨quick and easy¨ meals rich in all the essential elements of a healthy diet. They then offered cooking classes for their coleagues at the university and submitted a written work about this project to Incontro Romano.

Asia: Bettering care for the sick.
Last semester at their hospitality school a group of girls deepened in their studies about care for the sick. They decided that they wanted to share their findings with Incontro Romano. One of the areas in which they noted an important need for special care was the food trays prepared for the sick. Here, they wanted to show that details make all the difference. As such, the team took a picture of a tray of food prepared for bringing to the room of a sick person and submitted the photo along with an explanation of the detailed elements taken into consideration with this service. The activity helped to promote their professional formation as they are preparing to or already work in the service industry. They also discovered the great impact this work has on society.



IV. The best projects will be selected to be presented in Rome!

Criteria used for selection:
Incontro Romano evaluates and selects submissions keeping in mind the following criteria:
1. Presentation: Spelling, format (justification of margins, consistency, etc.), creativity, quality of images and photos, etc.
2. Interest of your chosen topic: It is of great interest that the work submitted to Incontro reflect theory put into practice.
3. Relation to this year´s topic: Work submitted to Incontro should reflect a profound and insightful understanding of this year´s topic. Submissions that do not have anything to do with the topic of this year will not be selected to present at the congress even if they are well done and of themselves interesting.
4. Professionalism and standards: The work submitted ought to be at par with the level of professionalism required by each one´s field of expertise.
5. Vision with which the work is propsed: The work should reflect a positive and optimistic view, proper to a Christian outlook. The congress does not intend to criticize what is negative, but rather promote the positive.



V. FAQ

• Is it necessary to go to Rome to participate in Incontro Romano?
¡NO! The great majority of participants do not come to Rome, but rather they participate from their own countries. The selected works of those who do not come to Rome are, as much as possible, published on the website. It is only necessary to come to rome if you want to participate in the International Fair.

• Does participating mean a lot of time dedication?
No. It depends on what you decide to present and how. The best projects are not necessarily the most complex and time consuming. One good way to work is to take something you already do or already know about and relate it to this year´s Incontro Romano topic. Then you just have to think about how to best communicate this to the world.

• “I don´t have any creative ideas. I always end up with the same idea every year”. What should I do?

• What are the global objectives of the projects carried out with Incontro Romano?
The global objectives of the projects carried out with Incontro Romano are:

1. To cultivate activities that encourage reflection on the ideas of personhood, family, excellence in the home, work that directly attends to a person´s needs, and all that contributes to creating a new culture of service in society.

2. To promote the education and training of professionals who are preparing themselves to work or are already working in the service sector, with a focus on women, and discovering the impact their work has on society.

• Is it necessary to include in my write up anything of a doctrinal or religious character?
No, it is not necessary.
